Tiny Guests Event Care is committed to safeguarding and promoting the welfare of all children in our care. We recognise our responsibility to ensure children are protected from harm while attending weddings and private events.
Our service is session-based, event-specific childcare, delivered on site while parents remain present at the venue.
Scope of Care
Children aged 0–5 years
Care provided in pre-booked sessions of up to two hours
Parents or legal guardians remain on site and contactable at all times
Care is non-medical and non-clinical
Safeguarding Lead
All care is led by a Registered Nurse with paediatric experience, who acts as the Safeguarding Lead for Tiny Guests Event Care.
Staff & Vetting
All staff (including assistants) must hold an Enhanced DBS
Safeguarding training is mandatory
Staff follow a strict code of conduct
No lone unsupervised contact outside agreed sessions
Child Protection
We are alert to signs of:
-physical abuse
-emotional abuse
-neglect
-inappropriate behaviour
Any concerns are taken seriously and escalated immediately following our incident reporting procedures.
Environment & Supervision
Children are supervised at all times during sessions
Designated quiet areas are assessed for safety
Entry and exit points are monitored
Children are never released to anyone other than their parent or named guardian
Parental Responsibility
Parents retain overall parental responsibility at all times.
Safeguarding works in partnership with parents, not in place of them.
Incident Reporting Policy

This policy outlines how Tiny Guests Event Care records and manages incidents, accidents, or concerns occurring during a care session.
What Is Considered an Incident
Injury (minor or otherwise)
Illness
Emotional distress
Behavioural concerns
Near misses
Safeguarding concerns
Procedure
Immediate care is given to the child
Parent or guardian is informed as soon as possible
Incident is recorded in writing, including:
date and time
description of incident
action taken
Parent signs the incident record where appropriate
Serious incidents are escalated immediately
Medical Emergencies
Emergency services are contacted if required
Parent is notified immediately
Tiny Guests Event Care does not administer medication or medical treatment
Record Keeping
Incident records are stored securely and confidentially in line with GDPR requirements.
Lost Child Protocol

LOST CHILD PROTOCOL
Prevention
Children are supervised at all times
Session registers are maintained
Entry/exit handovers are documented
Parents are required to remain on site
If a Child Is Temporarily Unaccounted For
Immediate search of the surrounding area
Venue staff alerted instantly
Parent informed without delay
All exits monitored
If Child Is Not Located Immediately
Venue safeguarding procedures are activated
Security and management are involved
Emergency services are contacted if required
Resolution
Once located:
Child is returned directly to parent
Incident is documented
Procedures reviewed to prevent recurrence
Photo & Media Policy

Tiny Guests Event Care respects the privacy and dignity of all children and families.
Photography & Recording
Staff do not take photographs or videos of children
No images are used for marketing or social media
No images are shared with third parties
Parent Photography
Parents and guests may take photographs of their own children at events.
We ask that:
children in our care are not photographed by others without parental consent
venue policies are respected at all times
Exceptions
Written parental consent is required for any photography involving a child in our care.
Data Protection
All personal information is handled in accordance with GDPR and privacy legislation.
